Information you provide

When you contact us, we collect the information you choose to share, such as your name, email address, telephone number, treatment interests and message. We use this information to respond to your enquiry, help arrange appointments and communicate with you about your request.

Please share only what is needed for your enquiry. Avoid sending detailed medical histories, identification documents or sensitive photographs through general website forms or ordinary email. We can explain how to provide information needed for your care.

Appointments and personal health information

Appointments and personal health information

Online booking is available through Jane, our clinic-management platform. Information entered through Jane is processed through that service to support booking and clinic administration. You can read Jane’s Privacy Notice for information about its role.

When you become a patient, additional information may be needed for assessment, treatment, documentation, payment and follow-up. This may include your health history, medications, treatment records and clinical photographs.

Personal health information is handled in accordance with Ontario’s Personal Health Information Protection Act, 2004, where applicable. This website policy does not replace the information and consent discussions associated with your care.

Consent to treatment or clinical photography does not, by itself, authorize public use of your photographs. Permission for marketing or publication is addressed separately.

How information is used and shared

How information is used and shared

We use personal information for the purposes explained when it is collected, including responding to enquiries, arranging and providing services, maintaining records and meeting legal or professional obligations.

Information may be handled by members of our team and service providers who support functions such as website hosting, booking, communications, payment processing and record storage. Access should be limited to what is needed for the relevant purpose.

Personal health information may also be shared with care providers involved in your care, with appropriate consent or as otherwise permitted or required by law. Other disclosures may be necessary to meet legal obligations or respond to lawful requests.

Website hosting and technical information

Our website is hosted on Framer. Providing and protecting the website involves processing technical information associated with visits, such as network requests, browser information and security logs.

Framer’s built-in analytics are designed to measure website activity without cookies. Booking services and other external websites linked from our site operate under their own privacy notices.

Communications and your choices

Communications and your choices

If you contact us, we may reply using the contact details you provide. Tell us if you have a preferred contact method. Ordinary email and text messages can carry privacy risks, so please use them primarily for general enquiries and appointment arrangements.

Marketing communications are separate from communications needed to respond to your request or administer your care. Where required, we obtain consent before sending marketing messages. You can unsubscribe using the instructions in a message or by contacting us.

You may also withdraw consent to certain uses or disclosures of your personal information, subject to applicable legal restrictions. We will explain any effect this may have on the services we can provide.

Protection, storage and retention

Protection, storage and retention

We are responsible for taking reasonable steps to protect personal information against loss, theft, unauthorized access, use and disclosure. No website, email service or electronic transmission can be guaranteed completely secure.

Service providers may process certain website or administrative information outside Ontario or Canada, where it may be subject to the laws of another jurisdiction. Contact us if you have questions about where information relevant to you is handled.

Information is retained for as long as needed for its purpose and applicable legal or professional requirements. Clinical records may need to be retained after your treatment ends. A request to delete information does not override those requirements.
